Privacy Policy

KEWD.ai ("KEWD", "we", "us", or "our") provides a real-time AI meeting co-pilot for macOS. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information. By using KEWD, you agree to the practices described here.

1. Information We Collect

Account & Waitlist Information

When you sign up for early access or create an account, we collect your email address. We use this to send you access confirmations, product updates, and support communications.

Audio & Transcription

KEWD captures audio from your microphone and system audio output during active meeting sessions. Audio is transcribed entirely on your device using an offline, locally-run model — raw audio is never transmitted to our servers or to any AI provider. The resulting transcript text is stored locally on your device and, to generate live in-meeting guidance, relevant portions of it are sent to our AI provider as described in "Third-Party AI Processing" below.

Google Account Data

If you choose to connect your Google account, KEWD requests the following permissions:

Google Calendar (calendar.readonly) — Read-only access to your calendar events. Used to display your upcoming meetings and pre-load session context (such as attendee names, meeting title, and agenda) into the app's AI-generated guidance features. We do not modify, delete, or share your calendar data except as described in "Third-Party AI Processing" below.
Google Drive (drive.file) — Access only to files you explicitly select via the Google Picker (e.g., your meeting deck or supporting documents). We do not access any other files in your Drive. Content from selected files is sent to our AI provider (see "Third-Party AI Processing" below) to generate meeting-specific guidance, and is not otherwise shared with third parties.

We do not use your Google data to serve advertisements. We do not sell or rent Google user data. We do not transfer Google user data to third parties except as necessary to provide the AI-guidance features described below. Google user data is used solely to provide the in-app features described above.

Third-Party AI Processing

To generate live guidance, meeting summaries, and document or screenshot analysis, KEWD sends relevant meeting content to Google's Gemini API for processing. This may include: portions of your live meeting transcript (generated on-device as described in "Audio & Transcription" above), calendar-derived attendee names and meeting details, content from Drive files you explicitly select, and screenshots you upload. This is a paid, billed use of Google's Gemini API; under Google's Gemini API Additional Terms of Service, data submitted through paid API usage is not used by Google to train or improve their AI models. This data is used solely to generate the guidance and analysis features you request within KEWD and is not shared with any other third party. Raw audio itself is never sent to Gemini or any other AI provider — only the on-device transcript text is used for this purpose.

Usage Data

We may collect anonymized usage information (e.g., feature interactions, crash reports) to improve the product. This data does not include the content of your meetings or documents.

2. How We Use Your Information

To provide, operate, and improve the KEWD application
To send you access invitations, product announcements, and support responses
To display your calendar events and meeting context within the app
To read files you select and generate AI-powered guidance for your meetings
To diagnose technical issues and improve reliability

3. Data Storage & Security

Email addresses and account data are stored in Google Firebase (Firestore), hosted in the United States. We use Firebase's security rules and Google Cloud Secret Manager for credentials. Audio and transcript data remain on your local device and are not uploaded to our servers. We use industry-standard security practices to protect your data.

4. Data Sharing

We do not sell your personal information. We do not share your data with third parties except:

Service providers — Infrastructure providers (Google Firebase/Cloud) that process data on our behalf under confidentiality obligations.
Legal requirements — If required by law, court order, or to protect the rights and safety of our users.

5. Google API Services User Data Policy

KEWD's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

6. Data Retention

We retain your email address for as long as your account is active or as needed to provide services. You may request deletion at any time by contacting us at the address below. Local data (transcripts, files) can be deleted by uninstalling the application or clearing app data on your device.

7. Children's Privacy

KEWD is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by updating the effective date at the top of this page and, where appropriate, by email. Continued use of KEWD after changes constitutes acceptance of the updated policy.

9. Your Rights

Depending on your location, you may have rights to access, correct, or delete your personal data, or to object to certain processing. To exercise these rights, contact us at the address below.
